Organise A ConferenceIf you’ve been assigned the task of organising your company’s conference, seminar, annual dinner, exhibition, or product launch then you’ve probably got weeks or months of planning ahead of you. But to help ease the stress and tension that comes with doing such an important job, we’ve got a few useful tips to make organising a conference easier than you thought. First of all there are a few essentials that you need to have in place before you start planning the conference. First of all allow yourself plenty of time for the arrangement – some people plan their conferences 18 months in advance but you should leave at least six months for a big affair and a couple of months for a smaller event. Obviously the first thing you need to think about is the venue for your conference and that is where the time period is important because many venues are booked up a year in advance. Will you just need an overhead projector (OHP) and screen, or will you need video and web facilities. If you are organising a conference, seminar or company dinner then you should consider booking a speaker for the event, perhaps someone who is an expert in the subject the conference covers or someone with plenty of experience in your company’s trade. If you decide to hire a speaker then you will also need to think about your audio requirements so that everyone, even those at the back, can hear what the speaker has to say. Also an important factor to consider is the food and beverage requirements for your conference. You will need to check with the venue whether they provide catering or if you need to hire an outside caterer to do the job. You will probably need drinks for when people arrive, and if it is an all-day event you will need to provide lunch and afternoon drinks too. Another thing you will have to organise include accommodation for delegates and other guests if it is a two or three-day conference, and you should also have help at hand to set up the room before the conference or seminar begins. You need to do all of these things while monitoring and maintaining a strict budget, and this is where many people struggle.
